  • Our Client, a leading real estate firm in Kenya offering a wide range of services is seeking to hire a dynamic Human Resources Manager to lead all aspects of the HR function, including recruitment, employee relations, performance management, compliance, payroll oversight, and talent development, while supporting the company's continued growth and operational excellence.

    JOB PURPOSE:

    This individual will be responsible for administering all aspects of Company human resource policies and functions. They will be responsible for industrial relations and labour consulting to management, including retrenchments processes, grievance hearings and disciplinary hearing cases. They will assume the responsibility of the effective performance of various human resource functions, including recruiting, interviewing, hiring, and for insuring corporation-wide compliance with governmental regulations and managing the payroll system and process. They will ensure that Human Resources activities are conducted in accordance with established Company policies and with established procedures.

    KEY DUTIES & RESPONSIBILITIES:

    Responsible for the planning, development, and implementation of effective human resource strategies and policies.

    • Ensures that human resources strategies and policies are consistent with established Company-wide goals.
    • Monitors compliance with policies.
    • Responsible for the industrial relations and labor consulting to management, including retrenchments processes, grievance hearings and disciplinary hearing cases.
    • Handles all exit interviews for staff.
    • Facilitates and controls all performance appraisals and Job Descriptions.
    • Assists in drawing up and providing training and education in the process compiles a list of needs from Performance appraisals for employees, listing areas of concern.
    • Maintains knowledge of industry trends and employment legislation and updates policies to ensure compliance.
    • Understands and identifies training needs of employees and sources relevant training.
    • Sourcing and vetting of training providers.
    • Induction of new employees

    Responsible for the effective performance of human resource functions.

    • Ensures that accurate, updated personnel information is provided to other departments and to governmental organizations as required. Ensures that external document submissions are accurate and timely.
    • Implement an effective recruitment program.
    • Oversee job classification and the updating of job descriptions.
    • Ensuring that all human resource functions, including recordkeeping, interviewing, hiring, promotions, and terminations, are conducted in accordance with established Company policies and applicable legal requirements. Oversees compliance with legislation.
    • Ensure that updated policies and procedures are communicated to management and staff. Provides advice and interpretation regarding human resource policies as they relate to individuals and to Company objectives.
    • Ensure that all personnel have defined KPIs that are reviewed annually.
    • Administer leave management by validating balances, tracking utilization, addressing over-accruals and providing monthly leave data for payroll and compliance purposes. Follow up strict adherence to employees reporting and leaving hours.
    • Random visits to various satellite offices to ensure compliance and bonding to foster synergies.
    • Plan and execute company events such as team building sessions, end of year parties, staff socials, birthday celebrations and ad hoc engagement activities. This involves preparing the budget, sourcing vendors and negotiating contracts.
    • Responsible for managing all aspects of the organization’s employee medical insurance programs ensuring staff receive timely support, accurate information, and seamless service related to medical coverage, claims, enrollments and renewals. HR will act as the primary liaison between employees and insurance providers.

    Responsible for the establishment and maintenance of effective communication and coordination with Company personnel and management.

    • Assists and support personnel as needed.
    • Ensuring that employee payroll, benefits, and personnel questions are promptly and courteously resolved.
    • Ensures that management is appropriately informed of area activities and of any significant problems.
    • Completes related reports accurately and timely.
    • Attend meetings as required.

    Responsible for the maintenance of professional working relations with professional human resource organizations and professionals, vendors, and suppliers.

    • Represents the Company with Labor attorneys.
    • Ensure that the Company’s professional reputation is maintained.
    • Ensures that questions and concerns and promptly and courteously resolved.
    • Assist in procuring medical insurance provider and administration of the scheme.
    • Application of statutory compliance certificates such as NSSF & SHIF.

     Responsible for the effective performance of payroll functions.

    • Sets up new and terminate exiting employees in the payroll system. Receives and captures personnel information into the system, and checks entries for accuracy.
    • Ensures that paychecks are accurate and timely. Enters correct data for hours worked, leave time, personal leave, and travel claims. Prints reports and checks information to ensure accuracy against input documentation.
    • Processes deduction registers for pensions reporting, garnishments and attachments.
    • Processes direct deposit account information. Inputs employee names, ID numbers, and bank.
    • Processes medical aid and pension/provident fund deductions.
    • Ensures that payroll functions are completed in accordance with established policies, procedures, and regulations.

    Responsible for completing all payroll related reports, paperwork, and documents accurately and timely.

    • Completes verification of employment forms, records wage information, and signs and faxes to financial institutions as requested.
    • Completes unemployment reports. Enters wage information, date of hire and termination, and reason for termination.
    • Processes and prints year-end forms. Corrects, reprints, and remails as necessary.
    • Completes miscellaneous payroll and accounting reports and documents as requested. 

    Responsible for related duties as required or assigned.

    • Stays informed of trends and changes in the human resources field.
    • Attend seminars and professional conferences. b. Completes special projects as assigned.
    • Ensures that work area is clean, secure, and well maintained.

    EDUCATIONAL QUALIFICATIONS & EXPERIENCE:

    Education: -

    • Bachelor’s Degree in Human Resource Management, or a related field.
    • Post graduate Diploma in Human Resource Management Membership with Institute of Human Resource Management (IHRM).
    • CHRP certification.

    Experience: -

    • Three to five years of progressive experience in human resource positions.
    • Supervisory experience required.

    Knowledge: -

    • Knowledge of human resource laws and regulations.
    • Understanding of compensation and benefits policies and programs.

    Skills & Abilities: -

    • Strong analytical skills.
    • Excellent oral and written communications abilities.
    • Solid interpersonal and supervisory abilities.
    • Knowledge of HR systems and databases
