  • Our client in the healthcare industry is seeking a highly organized and detail-oriented HR Administrative Assistant to support its U.S.-based homecare operations. This role is responsible for providing comprehensive administrative support across the employee lifecycle, including recruitment, onboarding, HR compliance, employee records management, credential tracking, and general HR administration.

    The ideal candidate will demonstrate exceptional organizational skills, maintain strict confidentiality, and effectively manage multiple priorities while supporting a fast-paced healthcare environment.

    Key Duties & Responsibilities

    • Coordinate recruitment activities, including scheduling interviews, communicating with candidates, and supporting the hiring process.
    • Prepare onboarding documentation, and new hire packets.
    • Collect, verify, and maintain new hire documentation, including employment forms, background check documentation, and personnel records.
    • Coordinate employee onboarding and orientation.
    • Maintain accurate employee personnel files.
    • Track employee licenses, certifications and other mandatory credentials.
    • Maintain and update employee information within the HRIS.
    • Process employee status changes.
    • Prepare employment verification letters and other HR correspondence.
    • Support payroll administration by reviewing timesheets, attendance, leave records, and resolving discrepancies.
    • Coordinate mandatory compliance training and monitor completion.
    • Assist in maintaining compliance with U.S. employment requirements.
    • Respond to employee HR inquiries.
    • Generate HR reports.
    • Maintain confidentiality of sensitive employee information and ensure HIPAA compliance.
    • Provide general administrative support and assist with special projects.

    Educational Qualifications & Experience

    Education

    • Bachelor's degree in Human Resource Management, Business Administration, Healthcare Administration, Psychology, or a related field.
    • A Diploma in Human Resource Management may be considered with relevant experience.

    Experience

    • 2–3 years of experience in Human Resources, Recruitment, or HR Administration.
    • Experience supporting employee onboarding, HR documentation, and personnel record management.
    • Experience in healthcare, homecare, or home health is an added advantage.
    • Experience supporting remote U.S.-based operations is desirable.

    Knowledge

    • Understanding of HR best practices and employee lifecycle processes.
    • Knowledge of U.S. employment documentation (Form I-9, W-4, onboarding).
    • Familiarity with HIPAA regulations and confidentiality requirements.
    • Basic understanding of payroll, attendance, and timekeeping.
    • Knowledge of healthcare credential management is preferred.

    Technical Skills

    • Microsoft Office Suite (Excel, Word, Outlook, Teams).
    • Experience with HRIS, payroll, or ATS systems such as BambooHR, ADP, Paychex, UKG, or Paylocity.
    • Strong data entry, document management, and reporting skills.
