  • We are a leading Human Resource Company in Africa providing talent solutions across the region with diverse experience working with cross-cultural teams and organizations. We are looking to recruit a PPE Administrator to join our team in Nairobi.

    Job Purpose

    The PPE Administrator will be responsible for the coordination, issuance, tracking, maintenance, and accountability of Personal Protective Equipment (PPE) within the company. The role ensures that all employees are adequately equipped with the required PPE in compliance with workplace safety standards while maintaining proper records and control of PPE inventory.

    KEY ROLES & RESPONSIBILITIES:

    PPE Needs Assessment

    • Collate and consolidate PPE requirements from the HR Manager and department supervisors.
    • Assess PPE needs based on job roles, safety requirements, and operational activities.
    • Maintain an updated list of PPE requirements for all employees and positions.

    PPE Allocation

    • Allocate PPE to employees according to approved PPE requirements per role.
    • Ensure each employee receives the appropriate PPE before commencing work.
    • Maintain records showing which PPE has been issued to each employee.

    PPE Issuance

    • Issue PPE to employees and ensure acknowledgment through signed issuance forms.
    • Update PPE issuance records in the PPE register or system.
    • Ensure replacement PPE is issued where necessary and authorized.

    PPE Inventory Management

    • Maintain an updated inventory of PPE items available at the company.
    • Monitor stock levels and notify management when replenishment is required.
    • Ensure proper labelling and organization of PPE items in storage.

    Storage and Control

    • Ensure safe and organized storage of PPE within the company’s facility.
    • Maintain a secure storage area to prevent damage, misuse, or loss of PPE.
    • Conduct periodic checks to ensure PPE items are in good condition and fit for use.

    Cleaning and Maintenance

    • Coordinate the cleaning and maintenance of reusable PPE.
    • Ensure availability of cleaning materials such as soaps and detergents for PPE hygiene.
    • Ensure PPE is maintained in safe and hygienic condition.

    PPE Loss Management

    • Determine and maintain a schedule of PPE loss or damage charges for each item.
    • Investigate cases of lost or damaged PPE.
    • Ensure recovery of costs in accordance with the approved PPE loss policy.

    PPE Return and Clearance

    • Facilitate return of PPE from employees during clearance or role changes.
    • Verify returned PPE against issuance records.
    • Report any missing or damaged items during the clearance process.

    PPE Compliance and Monitoring

    • Monitor and ensure employees use PPE as required during work activities.
    • Report cases of non-compliance or misuse of PPE to supervisors or HR.
    • Conduct periodic checks to ensure PPE issued is appropriate and adequate.

    Record Keeping and Reporting

    • Maintain accurate records of:
      • PPE issuance
      • PPE returns
      • PPE inventory levels
      • Lost or damaged PPE
    • Prepare periodic PPE reports for management.
    • Ensure records are available for audit or compliance purposes.

    Qualifications and Experience

    • Diploma or Degree in Human Resource Management, Occupational Health & Safety, Logistics, or related field.
    • At least 2 years’ experience in inventory management, safety administration, or operations support.
    • Knowledge of workplace safety standards and PPE requirements will be an added advantage.
